As home users and small businesses continue to buy new computers, they are also purchasing MS Office 2007. This is fine, of course. I do not have any problems with it. It has a learning curve, but once you’re used to it, it makes sense.

As many users who are upgrading, there are just as many businesses and even home users who are not upgrading. This is causing some headaches out there because MS Office 2007 introduces new file formats that are not compatible with older versions of MS Office. Many don’t know this and assume everyone can open their files. Not so!

The new file formats (quick summary):

New Formats

Older Formats

Word

.docx

.doc

Excel

.xlsx

.xls

PowerPoint

.pptx

.ppt

View full list of Microsoft Office 2007 file extenstions

As a user of an older MS Office, you have 2 options:

Upgrade to Office 2007, or

Download and install this from Microsoft’s site:
Microsoft Office Compatibility Pack for Word, Excel, and PowerPoint 2007 File Formats
This allows users with older versions of MS Office to open, convert, and save MS Office 2007 files.

As a user of MS Office 2007, you only have 1 option:

Don’t assume people can open your files. If you have to send a file from Word, Excel, or PowerPoint, save it in an older file format before sending it.

One last note… MS Office 2007 is backwards compatible. It can open all previous file versions of MS Office programs.

I’m always on the lookout for technology that helps me be more productive and efficient.

I discovered this new service that replaces your cellphone carrier’s voicemail. It’s called YouMail. I just signed up Saturday. One of the most simple sign up and activation processes I’ve used! Can’t get any easier unless someone else does it for you!

If you’re like me, I use my cellphone for both business and personal use (mostly business). I always had a formal greeting, but YouMail allows me to record multiple greetings which I can assign to a group of contacts or to just one person. Pretty slick, huh?

Some other features it has that your current voicemail service probably doesn’t have:

Email and text message notification if a voicemail was left

Transcribes voicemail and sends it in an email and, optionally, sends a text message (perfect if you’re stuck in a meeting so you can discretely check your messages)

Record a greeting and upload it (wave or mp3 file) or record it directly online!

Tracks your call history even if a voicemail was not left

Reply to a voicemail from your account

Not to worry. You can still check your voicemail from your cellphone when you’re on the road. It steps you through how to replace your cellphone’s voicemail quick dial feature with it’s own number (again very easy).

If you sign up and decide that you don’t like it, it is pretty easiy to revert back to your old voicemail service.

This is a great use of technology that is flexible and makes it easy to manage your calls and voicemails. It’s worth a try!

Dates for next 6 maintenance windows:
Sep 12, Oct 17 , Nov 14, Dec 12, Jan 16 and Feb 13.

The servers will be taken offline intermittently on the dates above for regular maintenance and upgrades from 11:00 pm to 3:00 am, ET (GMT -4 hours). You may lose connectivity intermittently depending upon which part of the system is being worked on. This maintenance work will help make the servers more secure by installing the latest software patches and other upgrades to help the system run better. We have chosen a weekend night to minimize any impact on your productivity.

During this window of downtime, you may NOT be able to consistently connect to our Exchange servers via your MS Outlook, WebMail (Outlook Web Access) or via any other devices. Depending on which servers are being worked upon, you may intermittently lose access for all or part of this downtime window. NOTE: Any e-mails sent to you during this time will be captured and queued by our backup server so that you will not lose any incoming e-mails.

If you want to have access to your Outlook mailbox data during this entire window of time, you must setup Outlook to operate in Cached or Offline mode. Any changes you make inside Outlook while in offline mode can be synchronized when you re-connect to our Exchange servers in online mode.

Please contact us if you have any questions about this periodic maintenance.
